Tender Specialist

The Tender Specialist is responsible for managing the end-to-end process of responding to requests for proposals (RFPs) and tenders. This includes researching, coordinating with internal teams, and preparing comprehensive proposals to secure contracts or projects.


JOB RESPONSIBILITIES

  • Analyze and interpret RFPs, RFQs, and tender documents to understand client.
    Collaborate with internal teams, including sales, project management, legal, and finance, to gather necessary information for proposal development.

  • Prepare, write, edit, and format proposals that address client needs, emphasize organizational strengths, and differentiate from competitors.

  • Ensure proposals meet all requirements specified in RFPs or tender documents and coordinate with different departments to gather necessary documentation.

  • Work closely with finance and project management teams to develop accurate and competitive cost estimates for proposed projects or services.

  • Participate in negotiation processes with clients to finalize contract terms and conditions, ensuring alignment with organizational objectives.

  • Manage time effectively to meet tight proposal submission deadlines.

  • Stay informed about industry trends, competitor activities, and market conditions to enhance the organization's competitiveness in the bidding process.

  • Maintain organized records of all proposals, correspondence, and contracts for reference and compliance purposes.

  • Ensure the quality and accuracy of proposals, verifying that they align with organizational branding and messaging.


QUALIFICATION, EXPERIENCE, AND SKILLS

  • Bachelor's degree in Business, Marketing, or a related field.

  • Proven experience in tender management or a similar role.

  • Strong understanding of bidding processes and contract management.

  • Excellent written and verbal communication skills.

  • Attention to detail and ability to work under pressure.

  • Familiarity with industry standards and regulations.

  • Proficient in Microsoft Office and other relevant software.
