Inspire Management Training Centre is seeking a professional and friendly Receptionist to join our team. As a receptionist, you will be the first point of contact for visitors and clients, providing a warm and welcoming atmosphere. You will handle incoming calls, manage inquiries, and provide administrative support to ensure smooth operations of the training center.

 

Duties/Responsibilities:

· Greet and welcome visitors in a courteous and professional manner.

· Answer and direct phone calls to the appropriate staff members.

· Provide information about our training programs, services, and upcoming events to callers and visitors.

· Assist with the registration process for training programs, ensuring accurate and complete documentation.

· Manage the reception area, ensuring it is clean, organized, and presentable.

· Receive and distribute incoming mail, packages, and deliveries.

· Maintain a visitor log and issue visitor badges as necessary.

· Handle general administrative tasks such as filing, photocopying, and data entry.

· Schedule appointments and manage meeting room bookings.

· Collaborate with internal teams to ensure effective communication and coordination.

· Assist with maintaining office supplies and inventory.

· Handle inquiries and resolve complaints in a professional and timely manner.

· Uphold a high level of confidentiality regarding sensitive information.

 

Required Skills:

· Excellent communication and interpersonal skills, with a friendly and approachable demeanor.

· Strong customer service orientation, with the ability to handle inquiries and requests effectively.

· Proficient in using office equipment, including telephone systems, printers, and scanners.

· Exceptional organizational and multitasking abilities to manage various tasks simultaneously.

· Attention to detail and accuracy in administrative tasks.

· Proficient in using computer software such as Microsoft Office (Word, Excel, Outlook).

· Ability to work well in a team and independently.

· Professional appearance and behavior.

Education:

· High school diploma or equivalent.

 

Experience:

· Prior experience as a receptionist or in a customer service role is preferred but not required.

· Freshers are encouraged to apply.

 

Physical Requirements:

· Ability to stand or sit for extended periods.

· Good manual dexterity for handling paperwork, operating office equipment, and typing.

· Ability to lift and carry light items, such as mail or packages.
