Procedures and Policies Consultant

We are seeking a Procedures and Policies Consultant for a 3-month engagement to standardize and streamline the organization’s procedures and policies. The consultant will focus on creating uniform, high-quality documents that align with international standards and regulatory requirements. This role is pivotal in establishing consistency, improving efficiency, and ensuring compliance across all departments.

Key Responsibilities:

1. Policy and Procedure Standardization:

o Conduct a comprehensive review of all existing policies and procedures across the organization.

o Identify gaps, redundancies, and inconsistencies, and develop a standardized format for documentation.

o Ensure alignment with international standards, legal requirements, and industry best practices.

2. Development of New Policies and Procedures:

o Draft, revise, and finalize policies and procedures where none currently exist.

o Collaborate with departmental heads and subject matter experts to accurately capture operational processes and requirements.

o Ensure documents are actionable, user-friendly, and accessible to all stakeholders.

3. Documentation and Structure:

o Design and implement a standardized template for policies and procedures, ensuring uniformity in language, formatting, and structure.

o Develop a version control system to maintain accuracy and track updates.

4. Service Level Agreements (SLA) and Operational Level Agreements (OLA):

o Develop and document SLAs to define service expectations and performance standards between departments or with external partners.

o Collaborate with operational teams to draft OLAs that specify the internal support required to meet SLA commitments.

o Ensure alignment between SLAs, OLAs, and organizational objectives.

5. Standard Operating Procedures (SOP):

o Draft and refine SOPs for key operational processes to ensure consistency and efficiency.

o Engage with relevant teams to validate SOPs and integrate feedback.

o Establish a structured review and update mechanism for SOPs to maintain relevance over time.

6. Stakeholder Collaboration:

o Work closely with the Deputy Director General of Risk & Compliance Sector and other key leaders to understand organizational priorities and requirements.

o Facilitate workshops and consultation sessions to gather input from relevant teams and stakeholders.

o Present drafts and incorporate feedback to ensure alignment with organizational objectives.

7. Implementation and Rollout:

o Create an implementation strategy for introducing the standardized policies, procedures, SLAs, OLAs, and SOPs across the organization.

o Provide training sessions or guidance to staff for understanding and adopting new documents.

o Establish mechanisms for monitoring adherence to policies and procedures.

8. Compliance and Quality Assurance:

o Ensure all policies, procedures, SLAs, OLAs, and SOPs meet regulatory, legal, and organizational standards.

o Conduct quality assurance checks to verify clarity, accuracy, and applicability.

o Maintain compliance with risk and governance frameworks overseen by the Risk & Compliance Sector.

9. Deliverables:

o Centralized repository of all standardized policies, procedures, SLAs, OLAs, and SOPs for organization-wide access.

o Clear roadmap for updating and maintaining documents after the project is complete.

o Established review and approval process for future policy changes.

Qualifications:

Education:

o Bachelor’s or Master’s degree in Business Administration, Organizational Development, Public Policy, or a related field.

Experience:

o Minimum of 10 years of professional experience in developing, standardizing, and implementing policies and procedures in large organizations.

o Demonstrated experience working with senior leadership and cross-functional teams.

Skills:

o Expertise in policy development, procedural writing, and organizational compliance.

o Strong project management skills with the ability to meet tight deadlines.

o Excellent written and verbal communication skills.

o Familiarity with international standards (e.g., ISO), governance frameworks, and regulatory compliance.

Tools:

o Proficiency in Microsoft Office Suite, document management systems, and process mapping tools such as Visio or Lucid chart.
