Hire Desk Executive - (Machinery / Heavy Equipment Rental)

We are seeking a reliable and detail-oriented Hire Desk Executive with 2-3 years of experience in machinery and heavy equipment rental services. The successful candidate will play a key role in managing the rental process, ensuring smooth operations, and providing exceptional service to customers. This position requires someone with strong organizational skills, knowledge of machinery specifications, and the ability to communicate effectively with different departments. A valid work permit for employment is required.

Job Responsibilities:

  • Coordinate rental operations for machinery and heavy equipment by liaising with the sales coordinator, service supervisor, accounts, and sales staff before the delivery of machines.
  • Provide detailed information regarding rental machinery, including specifications, models, capacities, and other relevant details.
  • Review, understand, and communicate rental quotations and contracts with customers to ensure clear understanding of terms.
  • Perform physical checks on machinery and heavy equipment upon return from customers, inspecting for damages, missing parts, and other discrepancies.
  • Document and report any damages or missing parts to the operations manager for further action.
  • Maintain accurate records of rental contracts, equipment status, and customer interactions.
  • Ensure timely delivery and collection of machinery and heavy equipment while maintaining good communication with customers.
  • Provide excellent customer service, addressing inquiries and resolving issues related to machinery and heavy equipment rentals.
  • Work collaboratively with the team to meet and exceed rental targets and customer satisfaction goals.

Qualifications, Experience, and Skills:

  • 3+ years of experience in hire desk or machinery and heavy equipment rental management.
  • In-depth knowledge of machinery and heavy equipment, including specifications, model types, and capacities.
  • Ability to read and understand quotations, rental contracts, and other relevant documentation.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills to liaise with customers and internal departments.
  • Ability to conduct basic visual inspections of machinery for damage and functionality.
  • Proficient in Microsoft Office and rental management software.
  • Ability to work in a fast-paced environment and handle multiple tasks simultaneously.
  • A proactive and customer-focused approach to problem-solving.
  • A valid work permit for employment in Saudi Arabia is required.
