As an experienced Document Controller, you will be responsible for managing, organizing, and maintaining project documentation to ensure that all records are accurate, accessible, and compliant with project requirements. Your role involves overseeing the flow of documents between project teams, stakeholders, and external parties, ensuring that all documentation is up-to-date and properly filed. Effective management and communication skills are essential to maintain the integrity of project records and support project efficiency.
Job Responsibilities:
Manage and maintain project documentation, including plans, reports, correspondence, and contracts.
Implement and oversee document control procedures and systems to ensure accurate and efficient document handling.
Organize and file documents according to project requirements and ensure accessibility for authorized personnel.
Track and control the distribution of documents to ensure that the most current versions are used.
Collaborate with project teams to gather and compile documentation for project reports and submissions.
Review and verify documents for accuracy, completeness, and compliance with project specifications.
Coordinate with external parties, such as clients and contractors, to manage and process document requests.
Monitor and ensure compliance with document control procedures and standards.
Maintain a document register and provide regular reports on document status and workflow.
Conduct periodic audits of document control systems to ensure accuracy and adherence to project requirements.
Provide training and support to project teams on document control processes and systems.
Stay updated with best practices and advancements in document control technology and methods.
Qualifications, Experience, and Skills:
Bachelor’s degree in business administration, Document Management, or a related field.
Minimum 3-5 years of experience as a Document Controller, preferably in the construction industry.
Proficiency in document management software and systems such as SharePoint, Aconex, or similar tools.
Strong organizational skills and attention to detail.
Excellent communication and interpersonal skills.
Ability to manage multiple tasks and prioritize effectively.
Proficiency in using Microsoft Office Suite.
Knowledge of document control standards and procedures.
Proficiency in English is required, and knowledge of additional languages is beneficial.
